Summary

This guide is designed to assist you in tailoring the access levels for basic users within your ServiceBox. By referencing the provided screenshots, the document will comprehensively outline specific features within your ServiceBox where basic user access can be granted or restricted.


Default settings for basic user access have been predefined based on our experiences with ServiceBox users. However, recognizing the diverse workflows across companies, you have the flexibility to "Override" these defaults in your ServiceBox. Simply navigate to the "Override?" column, check the box, and then adjust access by marking or unmarking the "Grant Access" column.

The following screenshots will briefly summarize each category of access levels for your reference.

 

Access to Notes

In the Notes section of access levels, you can grant access levels to customers to view, add, delete, and edit notes existing on items like Work Orders, Quotes, Customers etc.

 


Access to Contact 

In the Contact section of access levels, you can grant or restrict basic user access to view, add, or delete contacts within your ServiceBox.



Access to Customer 

In the customer section of access levels, you can grant or restrict basic user access to view, add, delete, import, and/or export your customer profiles within ServiceBox. 


Additionally, if you have have restricted a custom field in the customer tab of your ServiceBox settings, and you would would like basic users to view/edit these custom fields, you may grant them access to those custom fields. 


Some companies have requested to be able to mark customers as "on hold" for certain Work Orders. If you would like basic users to set/unset customers on hold, you may grant this access to basic users in this section.




Access to Job Site

In the Job Site section of access levels, you can grant or restrict basic user access to view contracts, add/view/delete all Job Sites, or you could only allow basic users to view Job Sites that relate to their assigned Work Orders.


if you have have restricted a custom field in the Job Site tab or Unit tab of your ServiceBox settings, and you would would like basic users to view/edit these custom fields, you may grant them access to those custom fields.


Access to Quotes 

In the Quotes section of access levels, you can grant or restrict basic user access to view, add, edit or delete information regarding Quotes, Quotes prices, Quote markups, Quote totals etc. 

Access to Work Order 

In the Work Order section of access levels, you can grant or restrict basic user access to view, add, delete, assign, and edit information regarding Work Orders, Work Order Items, Work Order signature requirements, etc. 



Access to Invoice 

In the Invoice section of access levels, you can grant or restrict basic user access to view, add, edit, or delete information regarding Invoices, Invoice statistics, Invoice notes, Invoice To Dos, etc.



Access to Admin 

In the Admin section of access levels, you can grant or restrict basic user access to view, add, edit, or delete administrative functions within your ServiceBox, including user management, tenant maintenance, activity feeds, Quote items, etc.





Access to To Do, Recurring Work, Inventory, and Reports 

In the To Do, Recurring Work, Inventory, and Reports sections of access levels, you can grant or restrict basic user access to view, add, edit, or delete information pertaining to all of these items.  



Access to Checklists, Timesheets, and Scheduler 

In the Checklists, Timesheets, and Scheduler section of access levels, you can grant or restrict basic user access to view, add, edit, or delete information pertaining to all of these items.  




API Access and Custom Access Levels


If you want to have any third party integrations, such as API access, this is where you may grant or restrict basic user access levels regarding API access. 


The final access level can be ignored, as it pertains to the National Cargo Bureau.
