We've added a new feature in the Job Site form which allows you to Export and Import Job Sites. This works similarly to the Inventory and Quote items import/export. Existing customers can export a Job Sites file, modify and add new Job Sites and then re-import the file. New customers will be able to bring in existing Job Sites which are not currently in ServiceBox.
Note: Having a Customer's information is required before Job Sites can be Exported or Imported, as Job Sites are linked to Customers.
After you Login to your ServiceBox site, in the left-hand side menu click on “Job Sites.” Underneath the title Job Sites you should see two buttons: "EXPORT" and "IMPORT".
Exporting the file from ServiceBox:
To Export the file, click on the Export button.
The system will generate an Excel file for you titled "ServiceBox Jobsites workbook"(If in Protected View click on “Enable Editing”).
You will see similar data rows in the excel file as in your Job Sites form within ServiceBox.
Update Exported Excel Spreadsheet:
Open the Exported file and fill in the data as shown below.
Note: all fields marked with * are mandatory and values should be added to these fields.
ID: System generated field, do not update this field.
Customer Display Name*: This is the customer who the bill will be sent to.
Existing Customers: Enter the Customer Name connected to the Job Site who the bill will be sent to. The name should be exactly the same as what is entered for the existing Job Site in ServiceBox.
You can find this information on the Job Site info page.
To enter a new Display Name through the Export/Import process, type the Display Name in this field.
New Customers: Enter the Customer Name connected to the Job Site who the bill will be sent to.
Jobcode: “Job #” in ServiceBox.
Existing Customers: The Jobcode should be entered the same way as it's entered in ServiceBox for the existing Job Site.
To enter a new Jobcode # through the Export/Import process type it in this field.
Display name*: This is a name for the Job Site. Most of the time it's the same as the Job Site address.
Existing Customers: The name should be exactly the same as entered in ServiceBox (including spaces) for existing Job Sites.
You can find this information on the Job Site page - Info tab.
To add the Display Name for new Jobsites through the Import/Export process, type the Display name in this field.
New Customers: Enter the Job Site name you want to see in the “Display Name” field. Type in the name of the building if you have it.
Existing customers: Enter the building name the same way as it's entered in ServiceBox for the existing Job Site.
To add the Building Name for new Job Sites through the Import/Export process, type the Building Name in this field.
Price Book: Select/enter the value in this field if you would like to offer a special price to the Customer.
Existing Customers: This field has a value in the form of a drop down; enter one of the Price Books from the list of Price Books entered in ServiceBox.
You can find this information on the Job Site form.
To add Price Books for new Job Sites through the Import/Export process, type in the ServiceBox value in this field.
Tax Level: Enter the tax level applicable to this customer/Job.
Existing customers: This field has a value in the form of a drop down; enter one of the options from the list of Tax levels entered in ServiceBox.
You can find this information on the Job Site form.
For adding Tax Levels for new Job Sites through the Import/Export process, type in one of the ServiceBox values entered in this field.
Street: This is the address for the Job Site.
Existing Customer: Enter the Address of the job Site in this field. For existing Job Sites enter the exact address as it's entered in ServiceBox, including spaces.
You can find this information on the “Info” tab of Job Site.
To enter Street info for new Job Sites through the Export/Import process, type the street address into this field.
Address Line 2: Enter additional address information here if required.
Address Line 3: Enter additional address information here if required.
City: Enter the name of the city applicable to the Job Site and as you would like to see it in ServiceBox.
To enter a city for a new Job Site through the Export/Import process type in the name of the city in this field.
New Customer: Enter the name of the city you would like to see in this field.
State: This field has a value in the form of a drop down.
Existing Customers: The name of the Province/State should be exactly the same as what's entered in Servicebox for the existing Job Site.
You can find this information on the “info” tab of the Job Site.
New Customer: Enter the name of the Province/State related to the Job Site in this field.
Zipcode: This field contains the Zip Code of the Job site.
Existing Customers: Enter the Zip Code in this field; it should be same as what's entered in Servicebox for the existing Job Site.
You can find this information on the “Info” tab of the Job Site.
New Customers: Enter Zip Codes in this field.
Country Code: This field has a value in the form of a drop down.
Existing Customers: The name of the Country should be same as what's entered in Servicebox for the existing Job Site.
To enter a country for a new Jobsite through the Export/Import process, enter the name of the Country from the list of Countries entered in ServiceBox.
Contract Company: Enter the name of the company the contract is currently under.
Existing Customer: You can find this information in the Job Site info tab. Please enter exactly the same information for the existing Job Site.
You can find this information on the “info” tab of the Job site.
To enter the Contract Company for new Job Sites through the Export/Import process, type the Contract Company name in this field.
New Customers: Type the Contract Company name in this field.
Contract Status: This is not a mandatory field. This field has a value in the form of a drop down.
You can find this information in the Job Site info tab.
To enter Contract Statuses for new Jobsites through the Export/Import process, type in one of the Contract Statuses from the list entered in ServiceBox.
Contract Expiry: This is also not a mandatory field. Enter a contract expiry date if applicable.
Existing Customers: Enter the same information as it appears in ServiceBox for the existing Job Site.
You can find this information in the Job Site info tab.
Building Need: This is not a mandatory field. Enter information if applicable in this field.
The following fields are not mandatory, but of course if you have the information, you can enter it:
Monday Hrs, Tuesday Hrs, Wednesday Hrs, Thursday Hrs, Friday Hrs, Saturday Hrs, Sunday Hrs
For existing Job Sites, you can find this information on the “Info” tab of the Job Site.
Use Customer Contact Info:
Existing Customer: This is a Boolean data type field and requires either a “True” or “False” answer. If the “Use Customer Contact Information” (see Screen print below) checkbox on the Job Site form is checked, then type “True” in this field. If not then type “False”. If the field is left blank the system will update the field with the default value “False”.
Type in “True” or “False” in this field,
Test 1: This is a Custom field. If you've created Custom Fields in the settings, you can enter that information here.
To find this information go to settings/Job Site/Custom field.
Test 2: This is also a Custom field. If you've created Custom Fields in the settings, enter that information here.
To find this information go to settings/Job Site/Custom field.
After updating the Excel file, save the file in the same format and Import it back to ServiceBox. This will update/add Job Site information within ServiceBox.
Importing the file back to ServiceBox:
To Import the file, go to Job Sites
Click on import:
Click on the “Choose File” button and select the file.
Click on the “Import” button.
On the top, right-hand corner, under your user name you will see the following message box.
The User importing the file will receive a message in their email inbox once the file import is completed.
Below is a sample error message one might receive, saying the import process was completed with errors. Here, something was wrong with the information on row 67
