We've added a new feature within the Job Site/Units form which will allow you to export and import Units. This works in similar fashion to the Inventory and Quote items import/export. Existing customers can export Units files, modify and add new units, and then re-import the file. New customers will be able to bring in existing Units for Job Sites which are not in ServiceBox. 

Note: Having a Job Site's information is required before a Unit can be Exported or Imported as Units are linked to Job Sites. 


After you Login to your ServiceBox site, in the left-hand side menu click on “Job Sites” to open the Job Sites page. Open a Job Site, and on the Unit Tab you should see two buttons: "EXPORT" and "IMPORT". 

 

 


Exporting the file from ServiceBox: 

To Export the file, click on the Export button. 


 


The system will generate an Excel file for you titled "ServiceBox Units for …... workbook" (If in Protected View, click on “Enable Editing”). 


 

  • You will see similar data rows in the excel file as in your Job Sites form within ServiceBox. 

 

 

Update Exported Excel Spreadsheet: 

  

Open the Exported file and fill in the data as shown below. 

Note: all fields marked with are mandatory field and value should be added to these fields. 


ID: This is a system generated field, do not update this field. 


 


Name*: This is the name of the Unit. 
Existing Customers:  Enter the Name of the unit for a Job Site. The name should be exactly the same, including spaces, as what is entered for the existing Unit in ServiceBox. 


 


You can find this information on the existing Unit info page. 


 


To enter the new Unit Name through the Export/Import process, type in the Unit Name in this field. 
New Customers: Enter the Unit Name connected to the Job Site in this field.


Description: This is a description of the unit. 

Existing Customers:  Enter the Description of the unit for a Job Site. The Description should be exactly the same, including spaces, as what is entered for the corresponding Unit in ServiceBox.

To enter a New Unit description through the Export/Import process, type the Unit Description in this field. 

New Customers: Enter the Unit Description in this field. 


Location:  This is where the Unit is located. 

Existing Customers:  Enter the Location of the unit for a Job Site. The Location should be exactly the same, including spaces, as what is entered for the existing Unit in ServiceBox.

To enter a new Location through the Export/Import process, type the Location in this field. 

New Customers: Enter the Location in this field. 


Contract Type: This field has a value in the form of a drop down. 

Existing customers: Enter the Contract Type in this field. The Contract type should be exactly the same,     including spaces, as what is entered for the corresponding Unit in ServiceBox.

To add Contract Types for new Units through the Import/Export process, type one of the ServiceBox values in this field. You can find these values on the Add New Unit form. 


 

New Customers: Enter the Contract type in this field. 


Contract Amount: This field contains the amount of the contract. 

Existing Customers: Enter the Contract Amount in this field. The Contract Amount should be exactly the same, including spaces, as what is entered for the corresponding Unit in ServiceBox.

To add Contract Amounts for new Units through the Import/Export process, type in the amount in this field. 

New Customer: Type in the Contract Amount in this field. 


Service Interval: This field has values in the form of a drop down.  

Existing customers: Enter the Service Interval in this field. The Service Interval should be exactly the same, including spaces, as what is entered for the corresponding Unit in ServiceBox.

To add Service Intervals for new Units through the Import/Export process, type in one of the ServiceBox values  in this field. You can find these values in the Add New Unit form. 

 


New Customer: Type in Service Interval in this field. 

           The following fields are all Custom fields added to the Unit form through Settings.   


 


Once you add Custom Fields, you will see them in the Unit form and they'll show up in the exported excel file. 

You can enter all available information in these fields to be uploaded to ServiceBox.  


 

Existing Customer: Enter the information exactly same as what is entered in ServiceBox for existing Units.

To add new information for the Custom fields through the Import/Export process, type the information in these fields. New Customer: Type in information in these fields. 

After updating the Excel file, save the file in the same format and Import it back into ServiceBox. This will     update/add the Unit information within ServiceBox. 



Importing the file back to ServiceBox: 

To Import the file, click on the Import button. 


 


Click on the “Choose File” button and select the file. 


 

Select a file. 



 

Click on the “Import” button. 


 


In the top, right-hand corner under your user name you will see the following message box: 


 


The User importing the file will receive a message in their email inbox once the file import is completed. 


The following email is an example of one that might be received after the import process completed, saying the process was completed, but with errors. in this example, something was wrong with information on row 4Please reach out to our Support team for help understanding and resolving these errors.
