Integrating time sheet data with accounting software, such as QuickBooks Online, can significantly simplify these tasks. In this article, we will walk you through the step-by-step process of syncing time sheets with QuickBooks Online using ServiceBox.


Initialize Time Sheets

Before initiating the synchronization process, ensure that your time sheets are properly initialized in the ServiceBox settings. Confirm that all time sheets have been accurately filled out and submitted for the desired time period.


Add Employees to Payroll

It is essential to have all employees added to the payroll tab in QuickBooks Online. This ensures that the system recognizes and links each employee's time sheet data correctly during the synchronization process.


Log into ServiceBox

Access your ServiceBox account and navigate to the drop-down menu under your username. From the options provided, select "QuickBooks Online" to proceed with the synchronization setup.



Configure Time Sheet Settings

  • On the QuickBooks Online sync page in ServiceBox, click on the "Settings" tab and select the "Time Sheets" option. 




  • Enable the transfer of time sheet information by checking the box labeled "Export Time Data." This step establishes the connection between ServiceBox and QuickBooks Online.





  • Check the "Export time data" box to indicate that you want to export timesheets.
  • Specify the starting date from which you want to import timesheets into QuickBooks Online.
  • Link each user in ServiceBox with their corresponding User/Employee in QuickBooks Online. This ensures that the timesheets of each user are accurately reflected in QuickBooks Online.

Remember that if you add a new user in ServiceBox, you will need to return to this page and link them with the corresponding QuickBooks Online employee name. This linking process ensures that the timesheets of the new user are correctly synchronized with QuickBooks Online.










Export Data

Once all configurations are complete, click the "Go" button to initiate the export of all ServiceBox data, including time sheets, to QuickBooks Online.




View Exported Time Sheets

To verify the successful synchronization, log in to QuickBooks Online and navigate to the "Reports" section. Under the "Employees" category, locate the "Time Activities by Employee Detail" report. This report displays the time sheet data imported from ServiceBox.
