In recent reports from our customers, concerns were raised regarding issues with quote visibility and search functionality within the ServiceBox platform. The primary concerns included the invisibility of quotes in list format at job sites and the exclusion of expired quotes from drop-down searches, even when multiple proposals had been issued to a client. This article aims to provide users with a clear understanding of how Quote Statuses function, with a particular focus on the customization of the "Expired After Months" field.
Quote Statuses Overview:
The Quote Statuses section plays a crucial role in organizing and managing quotes within the ServiceBox platform. Users can add, edit, and delete statuses to prevent duplication and ensure efficient quote management. The default statuses include "Draft," allowing for edits and changes; "Submitted," indicating completion and customer submission; "Awarded," denoting customer approval; and "Not Awarded," signaling the opposite. Users can easily navigate between these statuses to adapt to changing customer requirements.
Quote Search Functionality:
When conducting quote searches, it's important to note that the search functionality is limited to quote statuses. The drop-down search feature exclusively incorporates descriptions of quote statuses.
Customizing the "Expire After Months" Field:
A key feature within the Quote Statuses section is the ability to customize the "Expired After Months" field. This field determines the duration after which a quote, set to a specific status, will be moved to the "Expired" section of the Quote section.
For instance, if a user sets the "Submitted" status to expire after 1 month, quotes with a value of "1" within this status will automatically move to the "Expired" section after one month. This ensures that outdated quotes do not clutter the system and maintains the relevance of active quotes.
It is important to note that quotes with expired statuses will not appear in searches, enhancing the overall efficiency of the platform.

Clearing Values for Continuous Visibility:
To ensure quotes remain visible at all times, users have the option to clear any values from the "Expire After Months" field, leaving it blank. This approach is beneficial for users who do not want their quotes to be restricted by expiration dates. By adopting this practice, quotes will not be visible in searches.
