Troubleshooting: Error Syncing Invoice Due to QuickBooks Item Conflict


Issue:

When attempting to sync an invoice from ServiceBox to QuickBooks Online, you may encounter the error message:


"The item name 'xyz' setup as Category in QuickBooks can't be used as a line item."


Cause:

This error occurs when there is a conflict between the item names set up in QuickBooks Online and ServiceBox. Specifically, the item name used in the invoice line item in ServiceBox matches an item name that is set up as a category in QuickBooks Online, which cannot be used as a line item.


Solution:

To resolve this error and successfully sync the invoice to QuickBooks Online, follow these steps:


1. Identify the Conflict: Determine which item name in the invoice line item in ServiceBox is causing the conflict. In the example provided, the item name is 'Labour.'


2. Check QuickBooks Online Setup: Log in to your QuickBooks Online account and navigate to the Items list or Products and Services list. Search for the item name identified in step 1 ('xyz').


3. Adjust Item Setup in QuickBooks:

   - If the item name 'xyz' is set up as a category in QuickBooks Online, you'll need to either rename the category or convert it to a non-category item.

   - Alternatively, if 'xyz' is intended to be used as a line item in invoices, ensure it is set up as a product or service item rather than a category.


4. Sync the Invoice Again:
After resolving the item name conflict in QuickBooks Online, attempt to sync the invoice from ServiceBox to QuickBooks Online again.
