Introduction:

ServiceBox is designed to streamline operations for service-based businesses. Key to managing ongoing work is the ability to track work orders. This guide provides a step-by-step process to access or generate Admin  report in ServiceBox.


Step-by-Step Guide:

Log into ServiceBox: First, ensure that you are logged into your ServiceBox account with the necessary permissions to access reporting features.

Navigate to the Reports Section: Once logged in, go to the navigation bar and click on the 'Reports' section. 

Locate Admin Reports:







Vendor Order Summary: The generated report will include the name of the vendor, vendor order description, the status of the order, and the dollar amount for each order based on the date and status criteria you choose.


To download the above reports, follow these steps:

  • Select one of the above reports.
  • Start Date (Mandatory): Specify the start date for the report.
  • End Date (Mandatory): Indicate the end date for the report.
  • Status: Filter the report by one or more statuses, or leave it blank to include all statuses.
  • Select the preferred format for saving the report.
  • Click on Generate.





Generated report will include description and name of vendors for desired statuses and time period and will appear as follows:


Email Log Report: The Email Log Report in ServiceBox includes several pieces of information that are crucial for tracking the status of emails sent through the system.


To download the above reports, follow these steps:

  • Select one of the above reports.
  • Start Date (Mandatory): Specify the start date for the report.
  • End Date (Mandatory): Indicate the end date for the report.
  • Select the preferred format for saving the report.
  • Click on Generate.




Generated report will include email address of sender and receiver, subject line, reference and the status of email.

Pay attention to the "Latest State" column, as it provides valuable information about the email's journey.

  • 'Open' Status: If the "Latest State" displays 'Open,' it indicates that the recipient has opened the email. This is a strong indication that the email has been delivered and seen by the client.
  • 'Delivery' Status: If the "Latest State" displays 'Delivery,' it signifies that the recipient's email server has received the email. However, it's important to note that depending on the email server, the email may or may not make it to the recipient's inbox.




User Checkin Report: If you have turned on the feature "general checking" within Settings, you will see Check in Check Out buttons on your home screen.





This is like a whiteboard in the office, and not related to any work order. For example Admin staff can check in as soon as they arrive and can check out when they are done at the end of the day.


To download the above reports, follow these steps:

  • Select the above reports.
  • Start Date (Mandatory): Specify the start date for the report.
  • End Date (Mandatory): Indicate the end date for the report.
  • User: Select a user or leave it blank to generate report for all users. 
  • Select the preferred format for saving the report.
  • Click on Generate.


Generated report will include a name of user and their check in and check out time within the time period selected and will appear as follows.






Timesheet By Date Range: This report will show time spent by selected user on each work order for the selected time period.


To download the above reports, follow these steps:

  • Select one of the above reports.
  • User: Select a user or leave it blank to generate report for all users.
  • Start Date (Mandatory): Specify the start date for the report.
  • End Date (Mandatory): Indicate the end date for the report.
  • Select the preferred format for saving the report.
  • Click on Generate.





Generated report will have show number of hours spent by a user on each work order within time period. this report also includes customer name and jobsite information.




To Do Report: 

The report will include To Do generated date, assigned to, description as well as completion date and time.


To download the above reports, follow these steps:

  • Select one of the above reports.
  • Start Date (Mandatory): Specify the start date for the report.
  • End Date (Mandatory): Indicate the end date for the report.
  • Assigned User: Filter the report by one or more assigned users, or leave it blank to include all assigned users.
  • Status: Filter the report for a particular status, or leave it blank to include all statuses.
  • To Do Categories: Filter the report by one or more categories, or leave it blank to include all categories.
  • Select the preferred format for saving the report.
  • Click on Generate.





The report will include To Do generated date, assigned to, description as well as completion date and time.
