ServiceBox is excited to announce the release of enhanced invoice statistics.
Where to Access Invoice Statistics
The new invoice statistics are accessible across three primary areas within ServiceBox:
- Invoice List View:
Navigate to the invoice list. On the right-hand side, you will see the invoice statistics displayed prominently. - Work Order List View:
From the work order list, locate the right-hand panel. This section includes both work order status data and invoice statistics directly beneath it.
3. Inside a Specific Work Order:
When viewing an individual work order, go to the invoice list within that record. You'll find invoice statistics on the right-hand side. If the invoice is linked to a quote, quote statistics will appear as well.
Understanding the Invoice Statistics Structure
The updated invoice statistics are divided into two main segments:
1. Open Invoices
This section displays the count and total value of all invoices that are currently considered “open.” The term open refers to any invoice not marked as Paid, Voided, or Cancelled in your ServiceBox settings. Each business may use slightly different terminology, but the system recognizes statuses based on your configuration.
For example, you might see statuses such as:
- Draft
- Paid in QuickBooks Online
- Submitted
- Submitted - In Progress
Why might “Paid in QuickBooks Online” appear under open invoices?
This depends on how your ServiceBox invoice settings are configured. If the “Paid in QuickBooks Online” status is not flagged as "paid" in your settings, it will appear under open invoices.
To change this:
- Go to Settings > Invoices & Statistics
- Locate the invoice status (e.g., “Paid in QuickBooks Online”)
- Set the “Paid” flag to ‘Yes’ if you want it to be recognized as paid by ServiceBox
This flexible setting ensures that your unique business workflow is respected while maintaining accurate reporting.
2. Paid Invoices and Payments
What It Means and How to Use It
The Paid Invoices and Payments section in ServiceBox gives you a clear summary of:
Invoices marked as paid
Actual payments received
within a selected date range, such as “This Fiscal Year to Date", "Custom Date Range" etc.
Why It’s Useful:
Track Revenue: Understand how much income has been officially paid.
Monitor Collections: Confirm how much money was actually received.
Flexible Date Filters: Choose from predefined ranges like last month, last year, or set a custom range.
Identify Issues: A $0 total may point to missing payments or invoice statuses not correctly flagged as “paid.”
You’ll find this section just below the “Open Invoices” summary. Use it to review trends, analyze cash flow, and generate accurate reports for internal reviews or audits.
